Technical Documents & Marketing Materials Support Specialist

This position provides support for desktop publishing, graphics development, and document editing. Activities include working with internal consultants, client representatives and managers in the areas of document publishing, graphics, assembly, production and administration.

Job Responsibilities

  • Create and produce client materials including technical manuals, training manuals, posters, e‐learning tools, newsletters, presentations and job aids; distribute materials to clients both electronic and paper‐based
  • Create and maintain supporting materials, proposals, correspondence, reports, tables, and forms for internal and external clients; organize and manage project files
  • Perform real‐time edits to production documents with Subject Matter Experts and facilitators
  • Proof and edit documents for readability, grammar, punctuation, style, and format
  • Review document layout for accuracy and consistency in adhering to production checklist: formatting, pagination, page references, and image quality
  • Support office operations by ordering supplies, running errands off‐site, sharing phone coverage, tracking inventory, and assisting office staff with special projects
  • Collaborate with TDS project teams to provide training services and deliverables to clients; deliver logistical, communications and operations support for the team
  • Provide onsite client support for training programs and workshops, as well as storing and managing all documents and supplies related to each program
  • Support Marketing department with the development of visuals, graphics and layouts for ads, collateral, sales presentations and other materials
  • Update internal and external web content on a regular basis

Core Competencies

  • Advanced user of Microsoft Office Suite of Applications –  Word, Excel and PowerPoint
  • Proficiency in graphics software like VISIO or Illustrator
  • Experience in Adobe Creative Suite – Photoshop, InDesign, Illustrator, Dreamweaver and Acrobat
  • Basic knowledge of WordPress, HTML and CSS

Requirements
Education and Experience

  • Associates Degree in Marketing, Business Administration, Graphic Arts or related field, or five (5) years of related experience
  • Three (3) years of practical production and graphic illustrator experience with proven success
  • Two (2) years of experience proofreading and editing technical documents: familiarity with Chicago Style and Gregg Reference Manuals, a plus
  • Experience working in the petroleum industry, a plus

Working Conditions

Most work is performed in an office setting.  Occasional travel may be required to client sites that include headquarters, refinery or chemical plant operating units.  Individual must be able to operate a desktop computer as well as various pieces of office equipment including copy machines, printers and phone systems.

Physical Demands

Physical demands for the position may include lifting and moving objects weighing up to fifteen pounds when moving office items and setting up rooms for meetings; sitting for long periods of time (6-8 hours); traveling to client sites.
